Overview
The Check In/Out screen allows you to track which assets are checked out to which users or locations, and manage the process of assigning and returning assets. This is essential for organisations that share equipment, lend tools, or need to track asset custody.
Getting here
Click Check In/Out from the sidebar navigation.
What you can do on this screen
View a summary of all assets currently checked out, showing who has them and when they are due back
Monitor overdue items that have not been returned by their expected date
View a log of recent check-in and check-out transactions
Check out assets to users, departments, or locations
Check in returned assets with condition notes
Search and filter by asset, user, or location
View check-in/out history for any asset
The Check In/Out screen
The Check In/Out screen is made up of the following sections:
Section | Description |
Current assignments | A summary of all assets currently checked out, showing who has them and when they are due back |
Overdue items | Assets that have not been returned by their expected date |
Recent activity | A log of recent check-in and check-out transactions |
Check out an asset
Click the asset you want to check out.
Choose the person or location it is being assigned to.
Set an expected return date.
Add any condition notes about the asset at checkout.
Click Confirm to complete the checkout.
Note: Setting an expected return date helps track overdue items. Add notes about the condition of the asset at checkout for comparison when it is returned.
Check in a returned asset
Find the asset in the checked-out list.
Click Check In to process the return.
Record any condition notes and confirm the return.
Note: Compare the asset's condition at return with the notes from checkout.
Monitor overdue items
The overdue section highlights assets that have not been returned by their expected date. Follow up with the assigned person to arrange the return.
View assignment history
Click on any asset to see its complete check-in/out history.
Review all previous assignments, dates, and condition notes.
Pro tips
Always record condition notes when checking assets in and out to track wear and tear.
Use the overdue alerts to proactively follow up on unreturned assets.
Consider using barcode scanning for high-volume check-in/out operations.
