Overview
The Lease Register report gives you a summary of all your leased assets and their current financial position. It shows key lease details such as start and end dates, remaining term, right-of-use (RoU) asset values, and lease liability balances. Use this report to manage and report on your FRS 102 lease obligations.
Getting here
Click Reports from the sidebar.
Click Lease Register.
What you can do on this screen
View a register of all leased assets with their current lease details
Search for specific leases by reference, asset code, description, type, or status
Filter the register by date, asset type, lease treatment, status, date ranges, remaining term, liability amount, or lease reference
Sort the register by any column
Choose which columns to display and reorder them
Export the register to CSV, Excel, or PDF
Export selected leases to CSV or Excel
Post all active lease periods in bulk
Navigate to an asset's detail page from the register
Save, load, edit, duplicate, and delete filter configurations for reuse
Searching the register
Enter your search term in the Search leases... box at the top of the page.
The table updates automatically as you type.
The search matches against lease reference, asset code, asset description, lease description, asset type, and status.
Filtering the register
Filters are available in the right-hand panel under the Filters tab.
Setting filters
Open the right-hand panel by clicking the Filters tab.
Set one or more of the available filters:
As at Date -- the report date for lease positions. Defaults to today's date.
Asset Type -- select one or more asset types (for example, Buildings, Vehicles, Equipment).
Lease Treatment -- select one or more treatments: On-Balance Sheet (RoU) or Short-term / Low-value (Exempt).
Lease Status -- select one or more statuses: Active, Expired, Terminated Early, or Renewed.
Lease Start Date -- set a date range for the lease commencement date.
Lease End Date -- set a date range for the lease expiry date.
Remaining Term (Months) -- enter a minimum and/or maximum number of months remaining.
Liability Amount -- enter a minimum and/or maximum lease liability balance.
Lease Reference -- enter a full or partial lease reference to match.
Click Apply Filter to update the register with your filter settings.
Saving a filter
Configure your filters as described above.
Click Save and Apply.
Enter a name for the filter in the dialog that appears.
Click Save.
The filter is saved and applied. You can reload it later from the Saved Filters dropdown at the top of the Filters panel.
Loading a saved filter
Open the Filters tab in the right-hand panel.
Select a filter from the Saved Filters dropdown.
The saved filter is loaded and applied automatically.
Editing a saved filter
Load the saved filter you want to change.
Adjust the filter settings.
Click Save and Apply to update the existing filter, or change the name to save it as a new filter.
Duplicating a saved filter
Open the Saved Filters dropdown.
Select the duplicate option next to the filter you want to copy.
A copy of the filter is created with "(Copy)" added to the name.
Deleting a saved filter
Open the Saved Filters dropdown.
Select the delete option next to the filter you want to remove.
Clearing all filters
Open the Filters tab.
Click Clear All to remove all active filters and reset to the default view.
Sorting the register
Select a column header to sort the register by that column in ascending order.
Select the same column header again to sort in descending order.
Select it a third time to remove the sort.
The register is sorted by Lease Ref in ascending order by default.
Choosing which columns to display
Open the right-hand panel and click the Columns tab.
Select the visibility icon next to a column name to show or hide it.
To reorder columns, drag a column to a new position in the list.
Click Show All to display all available columns.
Click Reset to return to the default column layout.
You can search for a column by name using the Search columns... box at the top of the Columns tab.
Selecting leases
Select the checkbox next to a lease to select it. The Actions panel opens automatically.
Select the checkbox in the column header to select all leases on the current page.
Clear all checkboxes to deselect all leases.
When you select one or more leases, additional export options appear in the Actions panel.
Exporting the register
Export options are available in the right-hand panel under the Actions tab.
Exporting all leases
Open the Actions tab in the right-hand panel.
Under Export, select one of the following:
Export to CSV -- downloads all filtered leases as a CSV file.
Export to Excel -- downloads all filtered leases as an Excel spreadsheet.
Export to PDF -- generates a PDF report in landscape format, showing the report date.
Exporting selected leases
Select one or more leases using the checkboxes.
In the Actions tab, under Export Selected, select one of the following:
Export Selected to CSV -- downloads only the selected leases as a CSV file.
Export Selected to Excel -- downloads only the selected leases as an Excel spreadsheet.
The export includes only the columns currently visible on screen, in the order they appear.
Posting all lease periods
Open the Actions tab in the right-hand panel.
Under Lease Operations, click Post All Lease Periods.
This posts the next period for all active leases. When the posting is complete, a message confirms how many leases succeeded, failed, or were skipped, and the register refreshes automatically.
Viewing an asset's details
Select an Asset Code or Asset Description link in the register to open that asset's detail page.
Navigating the register
The register displays 25 entries per page. Use the pagination controls at the bottom of the table:
First -- go to the first page.
Previous -- go to the previous page.
Next -- go to the next page.
Last -- go to the last page.
The footer also shows:
The range of entries currently displayed and the total number of entries.
If filters are active, the total before filtering is shown in brackets.
Summary totals for Total RoU Cost, Total NBV, and Total Liability across all entries.
Field reference
Field | Description |
Lease Ref | The unique reference for the lease. |
Asset Code | The code of the asset associated with the lease. Select to open the asset detail page. |
Asset Description | A description of the leased asset. Select to open the asset detail page. |
Lease Description | A description of the lease agreement. |
Asset Type | The type of leased asset, for example Buildings, Vehicles, or Equipment. |
Treatment | The FRS 102 accounting treatment. Displayed as "RoU" for on-balance sheet leases or "Exempt" for short-term or low-value leases. |
Start | The date the lease commenced. |
End | The date the lease expires. |
Remaining | The number of months remaining on the lease term. |
% Elapsed | The percentage of the lease term that has elapsed. |
RoU Cost | The original cost of the right-of-use asset. Shown in your home currency. |
Accum Dep | The accumulated depreciation on the right-of-use asset. Shown in your home currency. |
RoU NBV | The net book value of the right-of-use asset (original cost minus accumulated depreciation). Shown in your home currency. |
Liability | The current lease liability balance. Shown in your home currency. |
Status | The current status of the lease: Active, Expired, Terminated Early, or Renewed. |
Warnings and messages
Message | When it appears |
"Failed to load lease register" | The system could not retrieve the lease register data. Try refreshing the page. If the problem continues, contact your administrator. |
"No leases found" | No leases match your current search or filter criteria. Try adjusting your search term or filters. |
"Exported [number] record(s) to CSV" | Your CSV export completed successfully. |
"Exported [number] record(s) to Excel" | Your Excel export completed successfully. |
"Exported [number] record(s) to PDF" | Your PDF export completed successfully. |
"Failed to export data" | The export could not be completed. Try again or contact your administrator. |
"Bulk posting complete: [number] succeeded, [number] failed, [number] skipped" | The bulk lease period posting has finished. Review the counts to check for any failures. |
"Failed to post all lease periods" | The bulk posting could not be completed. Try again or contact your administrator. |
"Please configure at least one filter before saving" | You tried to save a filter without setting any filter criteria. Set at least one filter before saving. |
"Failed to load saved filters" | The system could not retrieve your saved filters. Try refreshing the page. |
"Filter '[name]' saved successfully" | Your filter was saved. |
"Filter '[name]' updated successfully" | Your existing saved filter was updated with new settings. |
"Filter '[name]' created" | A duplicated filter was created. |
"Filter deleted successfully" | The saved filter was removed. |
"Filter not found" | The filter you tried to update or delete could not be found. It may have already been removed. |
"Failed to save filter" | The filter could not be saved. Try again or contact your administrator. |
"Failed to delete filter" | The filter could not be deleted. Try again or contact your administrator. |
"Failed to duplicate filter" | The filter could not be duplicated. Try again or contact your administrator. |
