Insurance Value Report

The Insurance Value Report shows the insurance values for your assets. Use this report to understand your total insured asset value for insurance purposes.

The report displays each asset alongside its purchase value, net book value and insurance value. You can filter, sort and export the data to support your insurance reporting needs.

Getting here

  1. Click Reports from the sidebar.

  2. Click Insurance Value Report.

What you can do on this screen

  • View a list of assets with their insurance values.

  • Search for assets by keyword.

  • Sort the report by any column.

  • Filter assets by category, location, status, purchase date or insurance value range.

  • Save and reuse filter combinations.

  • Choose which columns to display and reorder them.

  • Select individual assets or all assets on the current page.

  • Export the report to CSV, Excel or PDF.

  • Navigate to an asset record directly from the report.

Search for assets

  1. In the Search assets... field at the top of the page, enter your search term.

  2. The report updates automatically as you type.

To clear the search, delete the text in the search field.

Sort the report

  1. Select a column header to sort the report by that column in ascending order.

  2. Select the same column header again to sort in descending order.

  3. Select the same column header a third time to remove sorting from that column.

An arrow icon appears next to the column header to indicate the current sort direction.

Filter the report

The report shows assets with a status of Open or Part Disposed by default. You can apply additional filters to narrow the results.

  1. Open the side panel by clicking the Filters tab.

  2. Set one or more of the following filters:

    • Category -- select one or more asset categories.

    • Location -- select one or more locations.

    • Status -- select Open, Part Disposed or both.

    • Purchase Date -- set a start date, end date or both to define a date range.

    • Insurance Value -- enter a minimum value, maximum value or both.

  3. Click Apply Filter to update the report.

To remove all filters, click Clear all in the Filters panel.

Save a filter

You can save a filter combination so you can reuse it later.

  1. Configure your filters in the Filters panel.

  2. Click Save and Apply.

  3. Enter a name for the filter.

  4. Click Save.

The filter is saved and applied to the report.

Load a saved filter

  1. Open the Filters panel.

  2. Select your saved filter from the Saved Filters dropdown at the top of the panel.

  3. The filter settings load automatically. Click Apply Filter to update the report.

Edit a saved filter

  1. Load the saved filter you want to edit.

  2. Adjust the filter settings.

  3. Click Save and Apply.

  4. Confirm you want to update the existing filter, or enter a new name to save it as a new filter.

Duplicate a saved filter

  1. Open the Saved Filters dropdown.

  2. Select the duplicate option next to the filter you want to copy.

A copy of the filter is created with "(Copy)" added to the name.

Delete a saved filter

  1. Open the Saved Filters dropdown.

  2. Select the delete option next to the filter you want to remove.

The filter is removed from your saved filters list.

Choose which columns to display

  1. Open the side panel by clicking the Columns tab.

  2. Select or clear the tick box next to each column to show or hide it.

  3. Drag columns to reorder them.

The following columns are available:

  • Asset Code

  • Description

  • Serial Number

  • Category

  • Location

  • Purchase Date

  • Purchase Value

  • Net Book Value

  • Insurance Value

  • Status

By default, all columns except Status are visible.

Resize columns

To resize a column, drag the vertical divider on the right edge of the column header to the desired width. You can also use the keyboard to adjust column widths by focusing on the divider and pressing the relevant keys.

Select assets

You can select assets to perform actions on them.

  • To select a single asset, tick the check box in the row.

  • To select all assets on the current page, tick the check box in the column header.

  • To clear all selections, clear the check box in the column header.

When you select one or more assets, the Actions panel opens automatically with additional export options for the selected assets.

Export the report

You can export the report data in three formats. Exports include all filtered data and use the currently visible columns.

Export to CSV

  1. Open the Actions panel.

  2. Click Export to CSV.

A CSV file downloads to your device.

Export to Excel

  1. Open the Actions panel.

  2. Click Export to Excel.

An Excel file downloads to your device.

Export to PDF

  1. Open the Actions panel.

  2. Click Export to PDF.

A PDF file downloads to your device. The PDF includes the report title, any applied filter details, and the report data.

Export selected assets

When you have selected one or more assets, additional export options appear in the Actions panel:

  1. Select one or more assets using the check boxes.

  2. Open the Actions panel.

  3. Click Export Selected to CSV or Export Selected to Excel.

Navigate to an asset

To view the full details of an asset, click the Asset Code or Description link in the report. This takes you to the asset record.

Pagination

The report displays 25 assets per page. If there are more than 25 results, pagination controls appear at the bottom of the report.

  • Click First or Last to jump to the first or last page.

  • Click Previous or Next to move one page at a time.

  • Select a page number to go directly to that page.

Summary totals

The footer at the bottom of the report displays the following totals for the filtered data:

  • Total Purchase Value -- the combined purchase value of all filtered assets.

  • Total NBV -- the combined net book value of all filtered assets.

  • Total Insurance Value -- the combined insurance value of all filtered assets.

The footer also shows how many entries are displayed and, if filters are active, the total number of assets before filtering.

Description

Asset Code

The unique code that identifies the asset. Select this to open the asset record.

Description

A short description of the asset. Select this to open the asset record.

Serial Number

The serial number of the asset, if recorded. Displays a dash if no serial number is set.

Category

The category assigned to the asset.

Location

The physical location or site of the asset.

Purchase Date

The date the asset was purchased. Displayed in dd/mm/yyyy format.

Purchase Value

The original purchase value of the asset. Displayed in your home currency.

Net Book Value

The end-of-year net book value of the asset after depreciation. Displayed in your home currency.

Insurance Value

The insurance value of the asset. Displayed in your home currency.

Status

The current status of the asset (for example, Open or Part Disposed). Hidden by default.

Failed to load insurance value data. Please try again.

The report data could not be loaded.

Refresh the page and try again. If the problem continues, contact your system administrator.

No assets found

No assets match your current search or filter settings.

Try adjusting your search or filters to find what you are looking for.

No assets available for insurance reporting

There are no assets available for this report.

Check that assets have been added to the system.

Failed to export data

An export could not be completed.

Try the export again. If the problem continues, contact your system administrator.

Please configure at least one filter before saving

You attempted to save a filter without setting any filter criteria.

Set at least one filter value before selecting Save and Apply.

Unsaved changes

You have changed filter settings that have not been applied.

Select Apply Filter or Save and Apply to update the report.
