Work Items

Overview

The Work Items screen lets you view, create, manage, and track tasks across your organisation. You can assign work items to users or teams, set priorities and due dates, and monitor progress through to completion. This screen is available to users with the tasks permission.

From the sidebar, click Work Items.

What you can do on this screen

  • View all work items in a list, board, or calendar layout

  • Search for work items by title, description, or assignee

  • Use quick filters to find overdue, blocked, or urgent items

  • Apply advanced filters and save filter configurations for reuse

  • Create new work items

  • Edit, duplicate, and delete work items

  • Use bulk actions to update the status, priority, or assignee of several work items at once

  • Track time spent on a work item

  • Add comments, attachments, checklists, subtasks, linked assets, and tags to a work item

  • Customise which columns appear in the list view

  • Change the page size and navigate between pages of results

Switching the view mode

You can display work items in three layouts.

  1. Select the view mode dropdown in the top-right corner of the screen.

  2. Choose one of the following options:

    • List View -- displays work items in a table with sortable columns.

    • Board View -- displays work items as cards grouped into columns. You can group by status, assignee, priority, or type using the Group By dropdown that appears in board view.

    • Calendar View -- displays work items on a calendar based on their due date.

Searching for work items

  1. Enter your search term in the Search tasks... field below the page header.

  2. The list updates automatically as you type. The search matches against the work item title, description, and assignee name.

Using quick filters

Quick filter badges appear below the search bar. Select a badge to filter the list. Select the same badge again to remove the filter. Only one quick filter can be active at a time.

The available quick filters are:

  • My Tasks -- shows work items assigned to you

  • My Teams -- shows work items assigned to your teams

  • Overdue -- shows work items where the due date has passed and the status is not Resolved or Closed

  • Due Today -- shows work items due today

  • Due This Week -- shows work items due within the next seven days

  • Blocked -- shows work items with a status of Blocked

  • Urgent -- shows work items with a priority of Urgent

Using advanced filters

The right-hand panel provides detailed filtering options.

  1. Click the Filters tab in the right-hand panel.

  2. Set one or more filter criteria. The available filters are:

    • Company -- filter by company

    • Task Title -- search by task title

    • Work Item Type -- select one or more work item types

    • Status -- select one or more statuses

    • Priority -- select one or more priorities

    • Assigned To -- select one or more assignees

    • Due Date -- set a from and to date range

    • Created Date -- set a from and to date range

    • Created By -- select one or more users

    • Asset Category -- select one or more asset categories

    • Location -- select one or more locations

    • Progress Range (%) -- set a minimum and maximum percentage

    • Show Overdue Only -- toggle on to show only overdue items

  3. Click Apply Filter to apply the filters.

  4. To save the current filter configuration for reuse, click Save and Apply and enter a name for the saved filter.

  5. To clear all filters, click Clear All within the filters panel.

Managing saved filters

  • Use the saved filters dropdown at the top of the Filters tab to load a previously saved filter.

  • You can edit, duplicate, or delete saved filters from the dropdown menu.

Customising columns

You can choose which columns appear in the list view.

  1. Click the Columns tab in the right-hand panel.

  2. Show or hide individual columns. The available columns are:

    • ID

    • Title

    • Type

    • Priority

    • Status

    • Assignee

    • Due Date

    • Links

    • Progress

    • Created Date

    • Created By

Sorting work items

In list view, you can sort work items by selecting a column header. Select the same column header again to reverse the sort order. Select it a third time to remove the sort.

Changing page size and navigating pages

In list view, pagination controls appear at the bottom of the table.

  1. To change the number of rows per page, use the Rows per page dropdown. The options are 10, 20, 50, and 100.

  2. Use the left and right arrow buttons to move between pages. The current page and total pages are shown between the arrows.

Creating a work item

  1. Click New Task in the top-right corner of the screen.

  2. Complete the fields in the Create Work Item dialog:

    • Title (required) -- enter a short description of the task. Must not be empty and no more than 200 characters.

    • Description -- enter additional detail. Maximum 2,000 characters.

    • Tags -- select from the predefined tags or create custom tags.

    • Type (required) -- select the type of work item. The default is General Task.

    • Assign to -- choose whether to assign to a User or a Team, then search for and select the assignee.

    • Priority -- select Urgent, High, Medium, or Low. The default is Medium.

  3. Click Create Task to create the work item.

  4. To close the dialog without saving, click Cancel. If you have entered any information, you are asked to confirm that you want to discard your changes.

Viewing a work item

  1. Select a work item from the list, board, or calendar to open the detail screen.

  2. The detail screen shows the work item title, ID number, assignee, and status in the header.

  3. The main area has the following tabs:

    • Overview -- shows the title, description, status, priority, type, due date, time tracking, tags, work item information (created by, created date, last updated by, last updated date), assigned to, and any linked entities.

    • Checklist -- shows checklist items and their completion status. The tab badge shows completed items out of total items.

    • Subtasks -- shows subtasks and their status. The tab badge shows completed subtasks out of total subtasks.

    • Assets -- shows assets linked to the work item. The tab badge shows the count of linked assets.

    • Attachments -- shows files attached to the work item. The tab badge shows the attachment count.

    • Comments -- shows comments on the work item. The tab badge shows the comment count.

  4. The Activity panel on the right side shows a log of all changes made to the work item.

Editing a work item

  1. Open the work item detail screen.

  2. Click Edit in the top-right corner.

  3. Make your changes. You can update the following fields:

    • Title (must not be empty; maximum 200 characters)

    • Description

    • Status

    • Priority

    • Type

    • Due date

    • Assigned to (select an assignee or set to Unassigned)

    • Tags (add or remove)

    • Checklist items (add, complete, or remove)

    • Subtasks (add, update status, or remove)

    • Linked assets (add or remove)

    • Attachments (add or mark for removal)

    • Time entries (add manual entries or use the timer)

  4. Click Save to save your changes.

  5. To stop editing without saving, click Cancel. If you have unsaved changes, you are asked whether to continue editing or discard changes.

Tracking time on a work item

Time tracking is available on the Overview tab when editing a work item.

Using the timer

  1. Open the work item and click Edit.

  2. Click Start Timer to begin tracking time.

  3. The elapsed time is displayed next to the button.

  4. Click Stop Timer to stop and log the time entry.

Adding a manual time entry

  1. Open the work item and click Edit.

  2. In the Time Tracking section, enter the time in the Manual Entry field. Use formats such as "2h 30m", "1.5h", or "90m".

  3. Click Add to log the entry.

The Total Logged summary and a table of Recent Entries are displayed below the entry fields.

Duplicating a work item

  1. Open the work item detail screen.

  2. Select the more options menu (three-dot icon) in the top-right corner.

  3. Click Duplicate Task.

  4. In the Duplicate Task dialog:

    • Update the Task Name if needed. The default is the original title followed by "(Copy)".

    • Change the Assign To user if needed.

    • Under What to Keep, select or clear the options to include from the original work item:

      • Description

      • Checklists

      • Subtasks

      • Linked Assets

      • Attachments

      • Tags

  5. Click Duplicate Task to create the copy. You are taken to the new work item.

Deleting a work item

  1. Open the work item detail screen.

  2. Select the more options menu (three-dot icon) in the top-right corner.

  3. Click Delete Task.

  4. In the confirmation dialog, click Delete to permanently remove the work item. This action cannot be undone.

Using bulk actions

Bulk actions let you update or delete several work items at once.

  1. In the list view, select the checkbox next to each work item you want to include.

  2. The Actions tab in the right-hand panel displays the available bulk actions.

Mark as Complete

  1. Select one or more work items.

  2. In the Actions tab, click Mark as Complete.

Change Status

  1. Select one or more work items.

  2. In the Actions tab, click Change Status.

  3. Choose the new status from the dropdown list: New, In Progress, Blocked, Resolved, or Closed.

  4. Click Apply.

Assign to User

  1. Select one or more work items.

  2. In the Actions tab, click Assign to User.

  3. Select a user from the dropdown list.

  4. Click Assign.

Change Priority

  1. Select one or more work items.

  2. In the Actions tab, click Change Priority.

  3. Choose the new priority from the dropdown list: Urgent, High, Medium, or Low.

  4. Click Apply.

Delete Work Items

  1. Select one or more work items.

  2. In the Actions tab, click Delete Work Items.

  3. In the confirmation dialog, click Delete to permanently remove the selected work items. This action cannot be undone.

ID

Auto-generated unique identifier for the work item.

Title

Short description of the work item.

Type

The category of work item: General Task, Inspection, Maintenance Request, Documentation Update, Verification, Follow-up Action, or Data Collection.

Priority

The urgency level: Urgent, High, Medium, or Low.

Status

The current state: New, In Progress, Blocked, Resolved, or Closed.

Assignee

The user or team assigned to the work item.

Due Date

The date by which the work item should be completed.

Links

Related entities linked to the work item.

Progress

The completion progress of the work item based on checklists and subtasks.

Created Date

The date and time the work item was created.

Created By

The user who created the work item.

Due Date

The deadline for the work item. Selected using a date picker.

Assigned To

The user or team responsible. Can be set to Unassigned.

Tags

Custom labels used to organise the work item.

Created by

The user who created the work item. Read-only.

Created

The date and time the work item was created. Read-only.

Last updated by

The user who last updated the work item. Read-only.

Last updated

The date and time of the last update. Read-only.

Warnings and messages

Message

When it appears

Title is required

When creating a work item and the title is empty.

Title must be less than 200 characters

When creating a work item and the title exceeds 200 characters.

Description must be less than 2000 characters

When creating a work item and the description exceeds 2,000 characters.

Task title is required

When editing a work item and the title is left empty.

Task title must be 200 characters or less

When editing a work item and the title exceeds 200 characters.

Failed to load work items

When the work items list cannot be loaded. Click Retry to try again.

Work item not found

When you try to open a work item that does not exist or has been deleted.

Failed to load work item

When a work item detail cannot be loaded. Click Retry to try again.

Discard Changes? / You have unsaved changes. Are you sure you want to discard them?

When you try to leave the edit screen or close the create dialog with unsaved changes. Click Discard Changes or Discard to discard, or Continue Editing or Stay to go back.

Are you sure you want to delete [work item title]? This action cannot be undone.

When you confirm deletion of a single work item.

Are you sure you want to delete [number] selected work items? This action cannot be undone.

When you confirm bulk deletion of work items.

When you try to save a filter without setting any filter criteria.
