Overview

The Dashboard is the default landing page in Access Assets. It gives you a high-level overview of your asset portfolio through summary widgets, key performance indicators (KPIs), and quick-access links to common actions. The Dashboard is available to all users with access to the system, and the content displayed depends on your permissions and the dashboard view you select.

Getting here

The Dashboard is the first screen you see when you sign in to Access Assets. You can return to it at any time by clicking Home in the sidebar navigation.

What you can do on this screen

  • View a personalised greeting showing your name, selected company, and total asset count

  • Switch between the Financial Dashboard and the Maintenance Dashboard to see different sets of widgets and KPIs

  • Review KPI cards summarising key metrics such as total asset value, active assets, depreciation, and asset health

  • Use Quick Actions buttons to navigate directly to common tasks such as adding an asset, running depreciation, or viewing audits

  • View chart widgets that break down your assets by category, location, and status

  • Monitor depreciation trends, net book value, and upcoming insurance renewals

  • Review asset health, lifecycle stage, age analysis, and audit status (Maintenance Dashboard)

  • Check compliance summaries, upcoming inspections, and overdue inspections (Maintenance Dashboard)

Switching between dashboards

Access Assets provides two dashboard views. Each view displays a different set of KPIs, quick actions, and widgets tailored to a specific focus area.

  • Financial Dashboard — focuses on asset values, depreciation, and financial metrics.

  • Maintenance Dashboard — focuses on asset health, audits, maintenance, and compliance.

If you have access to both dashboards, you can switch between them using the tabs in the top-right corner of the Dashboard header.

Steps

  1. On the Dashboard, look at the top-right area of the header.

  2. Click Financial Dashboard or Maintenance Dashboard.

  3. The page updates to show the KPIs, quick actions, and widgets for the selected view.

Your selection is saved automatically. The next time you sign in, the Dashboard opens on the view you last used.

If you only have permission to view one dashboard, the tabs do not appear and you see only the dashboard you have access to.

Using quick actions

Quick actions are shortcut buttons displayed in a bar near the top of the Dashboard. They let you navigate directly to frequently used areas of the system. The quick actions shown depend on which dashboard view you are on and which permissions you have.

Steps

  1. On the Dashboard, locate the quick actions bar below the header.

  2. Select the button for the action you want to perform.

  3. You are taken to the relevant page.

Only quick actions you have permission to use are shown. If you do not see a particular button, contact your administrator to check your permissions.

Reviewing KPI cards

KPI cards appear in a row near the top of the Dashboard, below the quick actions. Each card displays a single key metric with a title, value, and supporting detail. The KPIs shown depend on the selected dashboard view.

Total Asset Value

The total net book value of all assets, with the total asset count shown below

Acquisition Cost

The total original purchase value of all assets

Total Depreciation

The cumulative depreciation amount, with year-to-date depreciation shown below

Average Asset Value

The mean net book value per asset

Current Period

The current financial year and period. If you have multiple companies selected, this shows the total number of companies instead

Maintenance Dashboard KPIs

The total number of assets across all locations

Active Assets

The number of active assets, with the percentage of total assets shown below

Warranty Due

The number of assets with warranties due, with the number overdue shown below

Active Audits

The number of active audits in progress, with the average completion percentage shown below

Asset Health

The overall asset health percentage, with the number of alerts shown below

On smaller screens, fewer KPI cards are displayed to fit the available space. The most important KPIs are always shown first.

You can click the Current Period KPI to go to period management settings, or the Total Companies KPI to go to company settings.

Viewing chart and data widgets

The main area of the Dashboard displays a grid of chart and data widgets. Each widget provides a visual summary of a specific aspect of your asset portfolio. The widgets shown depend on the selected dashboard view and your permissions.

A summary of warranty coverage across your assets

The following widgets appear on the Maintenance Dashboard if you have compliance permissions:

Compliance Summary

The overall compliance rate and a breakdown of compliant, due soon, overdue, and non-applicable items. You can select individual status counts to view filtered lists

Upcoming Inspections

Up to five inspections due in the next 30 days, sorted by urgency. Each item shows the asset name, compliance regime, due date, and priority

Overdue Inspections

Up to five inspections that are past their due date, sorted by how overdue they are. Each item shows the asset name, compliance regime, original due date, and days overdue

Steps

  1. On the Dashboard, scroll down past the KPI cards to view the widget grid.

  2. Review the charts and data summaries displayed in each widget.

  3. Where available, select items or buttons within a widget to navigate to more detail. For example:

    • Click View All Compliance in the Compliance Summary widget to open the full compliance assets list.

    • Click View All Inspections in the Upcoming Inspections widget to open the compliance assets page.

    • Click View All Overdue in the Overdue Inspections widget to open the overdue inspections list.

    • Select an individual inspection item to open the asset detail page for that asset.

Dashboard header

The header at the top of the Dashboard displays:

  • A time-based greeting (for example, "Good morning") followed by your first name

  • The name of the currently selected company, shown with a colour indicator, and the number of assets in that company

  • If All Companies is selected, the header shows the total asset count and the number of companies

This information updates automatically based on your company selection and the time of day.

Unable to load compliance data

Shown in the Compliance Summary widget if compliance data cannot be retrieved

Select the Retry button to try again. If the problem persists, contact your administrator
