Overview
The Disposals screen allows you to dispose of assets, removing them from the active register and recording disposal proceeds and reasons. You can dispose of assets individually or in batches, using different disposal methods such as by value, percentage, or quantity. This screen is available to users with the disposals permission.

From the sidebar, click Transactions, then click Disposals.
What you can do on this screen
Create a new disposal batch to dispose of one or more assets
Choose a disposal method (value, percentage, or quantity)
Record disposal proceeds and a disposal reason
Save a disposal batch as a draft to return to later
Process a disposal batch to post transactions to the system
View previously completed disposal batches in the transaction history
Search and sort the transaction history
Export disposal batch details to CSV or Excel
Open a completed batch to review its details

Start a new disposal batch
Click Start New Disposal Batch.
In the Select Assets for Disposal dialog, choose the assets you want to dispose of. You can select more than one asset.
Click Add to Disposal Batch.
The disposal entry screen opens with your selected assets.
Complete the header details
Enter a Reference for the batch. This field accepts up to 10 characters. If your system is set to auto-generate references, this field is filled in automatically when you save.
Select a Disposal Reason from the dropdown list.
Set the Date for the disposal.
Select the Year and Period for the disposal. When disposing of multiple assets, the year and period are fixed.
Enter any relevant information in the Notes field. This field accepts up to 400 characters.
Set disposal options and values
After you add assets to the batch, the Options and Disposal Values section appears.
Choose a disposal method
Under Dispose of, select one of the following methods:
Value -- Enter the actual cost and depreciation amounts to dispose of. This is the default method for current-period disposals. If depreciation has been posted in the current period, this option is not available.
Percentage -- Enter the percentage of cost and depreciation to dispose of. This is the default method for prior-period (backtracked) disposals.
Quantity -- Enter the number of units to dispose of. This option is only available when disposing of a single asset.
When you click Percentage, the disposal values fields display as percentages. When you click Value, the fields display as currency amounts.
When you dispose of multiple assets, the disposal method is fixed to Value or Percentage, and values are distributed proportionally across the selected assets.
Enter disposal values
In the Disposal Values section, complete the following fields:
Enter or review the Actual Cost (or percentage).
Enter or review the Historical Cost (or percentage).
Enter or review the Actual Depreciation (or percentage).
Enter or review the Historical Depreciation (or percentage).
Enter the Proceeds Value -- the amount received from the disposal (for example, a sale price). This is always entered as a currency amount.
The system calculates the gain or loss on disposal automatically based on the proceeds value and the net book value of the disposed portion.
Review the transaction details table
The Transaction Details table shows each asset in the disposal batch with the following columns:
Asset Code and Description -- identify the asset
Current Cost, Current Depr., and Current NBV -- the asset's current financial values
Disposal Cost, Disposal Depr., Proceeds, NBV after Disposal, and Gain/Loss -- the calculated disposal values
A totals bar at the bottom of the screen displays the batch totals for disposal cost, disposal depreciation, proceeds, NBV after disposal, and gain/loss.
Add more assets to the batch
In the Transaction Details section, click Add Assets.
In the dialog, choose the additional assets you want to add.
Click Add Selected Assets.
Remove assets from the batch
In the Transaction Details table, tick the checkbox next to each asset you want to remove. To select all assets, tick the checkbox in the table header.
Click Remove Lines.
In the confirmation dialog, click Remove to confirm.
Save a disposal batch
Complete the header details and disposal values.
Click Save.
A success message confirms the batch has been saved.
You can return to a saved batch later by opening it from the transaction history.
Process a disposal batch
Processing a disposal batch posts the disposal transactions to the system. This action cannot be undone.
Complete the header details, disposal values, and review the transaction details.
Click Process.
In the confirmation dialog, review the details and click Process to confirm.
A success message confirms the batch has been processed.
After processing, the batch status changes to Posted and the batch becomes read-only.
View the transaction history
The main Disposals screen displays a Transaction History table listing all disposal batches. The table shows the following columns:
Reference -- the batch reference
Date -- the date of the disposal
Period -- the accounting period
Year -- the accounting year
Company -- the company the batch belongs to
Disposal Reason -- the reason code and description
Period Type -- either Current Period or Service Period
Disposal Value -- the total disposal value
Proceeds -- the total proceeds from the disposal
Gain/Loss -- the total gain or loss (displayed in green for gains and red for losses)
Posted By -- the user who posted the batch
Posted Date -- the date and time the batch was posted
Status -- either In Progress or Posted
Search the transaction history
Enter a search term in the Search transactions field above the table. The table filters as you type, matching against reference, notes, prepared by, posted by, status, and disposal reason.
Sort the transaction history
Select any column header to sort the table by that column. Select the same column header again to reverse the sort order. Select it a third time to clear the sort.
Open a batch
Click Open next to the batch you want to view. If the batch has been posted, it opens in read-only mode.
View a batch in Transaction History
Click View Transaction History next to a batch to open it in the Transaction History enquiry screen, filtered to that batch reference.
Export disposal data
You can export disposal data from either the transaction history or from within a disposal batch.
Export from the transaction history
On the batch row, select the three-dot menu.
Click Export CSV or Export Excel.
Export from a disposal batch
Open the disposal batch.
Select the three-dot menu in the top-right corner.
Click Export to CSV or Export to Excel.
The exported file includes the following columns: Asset Code, Asset Description, Category, Location, Current Cost, Current Depreciation, Current NBV, Proceeds, Gain/Loss, and Notes.
Discard changes and cancel
If you have unsaved changes and select the back button, a confirmation dialog asks whether you want to discard your changes.
Click Discard to leave without saving.
Close the dialog to continue editing.
Summary cards
At the top of the Disposals screen, four summary cards display key figures:
Total Disposals (YTD) -- the total disposal value for the year to date
Current Period -- the total disposal value for the current period
Total Proceeds (YTD) -- the total proceeds from disposals for the year to date
Net Gain/Loss (YTD) -- the net gain or loss on disposals for the year to date
If you have multiple companies and are viewing all companies, a company summary view is shown instead.
